WhatsApp Business for your appointment business: your link, the greeting and the auto-replies

By Arthur, from Sámara, Costa Rica · August 19, 2026

There's a moment in the life of every appointment business: you're mid-task (a haircut, a massage, an open engine) and the phone buzzes for the tenth time with the same question: "do you have anything tomorrow?". The phone is the business, and it also eats the business.

WhatsApp Business, the free app, ships three tools that answer for you: your link (so people can message you without saving your number), the greeting message (your first impression, automatic) and quick replies (the three questions of every day, saved). Here's each one, with the text ready to paste.

The short version

  • Create your wa.me link and put it on Instagram, Facebook and your Google profile.
  • Set the greeting message so first-time writers get your info instantly.
  • Set the away message to answer after hours.
  • Save quick replies for prices, location and hours.
  • The example texts are below, ready to copy.

Your WhatsApp link (the one that opens a chat with you)

The format is simple: wa.me followed by your full number with the country code, no spaces or dashes. In Costa Rica: wa.me/50688888888. Anyone who taps it opens a chat with you, without saving your number.

  1. Write your link: wa.me/506 plus your eight digits.
  2. Want the chat to arrive with text already typed? Add ?text= and the message, writing spaces as %20: wa.me/50688888888?text=Hi,%20I%20want%20an%20appointment. That way you know what they came for.
  3. Put it where people look for you: the Instagram bio button, your Facebook page, your Google business profile, and a printed QR at the counter.

The greeting message (your first impression, automatic)

It sends itself when someone writes you for the first time (or after 14 days of silence). It's your full-time receptionist: it says hello, what you do and where to go. Turn it on under Settings, Business tools, Greeting message.

Greeting example
Hi, could I get some information?
Hi! Thanks for writing to Barbería El Puerto. You can book your appointment on our page, with services, prices and open slots. Or tell us what you need and we'll reply as soon as we can. Pura vida!

The away message (for 10 p.m.)

Just as easy to enable (Settings, Business tools, Away message) and it takes a schedule: outside your hours, whoever writes gets an instant answer instead of silence. The difference between "they never answered" and "they'll answer tomorrow" is a client who waits instead of moving on.

Away example
Hi! We're closed for today, but your message is saved and we'll reply first thing tomorrow. If you'd like to lock in your appointment now, book it on our page. Thanks!

Quick replies (the three questions of every day)

Under Settings, Business tools, Quick replies you can save texts behind a shortcut. Type the slash (/) and the shortcut, and the full message appears. Start with these three: /prices, /location and /hours. Write them once, use them a thousand times.

What about a menu, like "press 1 for appointments"?

The honest answer: the free app doesn't do menus or bots. Messages with buttons and option lists use the WhatsApp API, which is a different thing: it's what platforms use. For an appointment business, the simple play is to have your greeting and away messages carry the link to your booking page: the page answers prices, services and open slots by itself, which is exactly what people ask.

With rezervaya this comes assembled: your booking page answers the "how much is it?" and the "anything free tomorrow?", and your panel has the greeting and away texts already written with your link inside, ready to paste into WhatsApp Business. The trial is free, runs 14 days and doesn't ask for a card.

Quick questions

Is WhatsApp Business free?
Yes. The WhatsApp Business app is free on Android and iPhone. What costs money is a different thing: the WhatsApp API, which companies and platforms use to send automatic messages at scale.
Can I use my personal number on WhatsApp Business?
You can, but a number can only live in one of the two apps. If you move your personal number to WhatsApp Business, all your chats move with you. Many businesses prefer a separate number (a second SIM or eSIM) to keep the counter apart from personal life.
How do I put my WhatsApp link on Instagram?
Two ways: paste your wa.me link in the website field of your bio, or better, use the contact button on business accounts: Edit profile, Contact options, WhatsApp. The button shows right on your profile.
What's the difference between the greeting and the away message?
The greeting goes to anyone writing you for the first time, at any hour. The away message goes to anyone writing outside the hours you define. You can (and should) keep both on.

Half an hour of setup, once, and your WhatsApp greets, informs and points the way even when your hands are full. That's what tools are for.
